Assistant Project Manager - Healthcare/Hospitals

We are seeking an Assistant Project Manager with experience working in both new and existing hospital environment on a major capital projects to join our team. As an Assistant Project Manager, you will be responsible for overseeing the planning, implementation, and tracking of projects from start to finish, ensuring projects are completed on time, within scope, and budget. You will be working with clients, internal teams, and external stakeholders to ensure that projects are delivered successfully.

What your Responsibilities would be:

  • Support the project by preparing schedule updates, action logs, contact lists, and stakeholder registers, maintaining project controls, and developing progress reports or dashboard updates.

  • Attending project meetings, capturing action items, and key decisions, and preparing meeting minutes.

  • Acting as owner’s representative in project related matters.

  • Provide relief support to other Assistant Project Managers, Coordinators or Project Managers, when available to do so.

  • Regularly report on project status by means of schedule updates, meeting minutes, financial records, and other reports.

  • Financial Reporting, coordinating with Client finance for data and our tracking system – using Excel.

  • Tracking of Project Expenditures - historical and throughout the project until completion.

  • Tracking Commitments - Purchase Orders and Contracts.

  • Review Invoice & GC Progress Draws/Payment Certificates – verify that the information is correct and provide a coversheet in Excel with budgetary information/recommendation of payment following authorization protocol.

  • Dashboard Report Inputs – Financial Section coordinated with the Project Manager.

  • FF&E Budget Tracking and Coordination – Excel spreadsheet (tracking through estimate to procurement).

  • Change Management Tracking as per client requirements – setting up Excel spreadsheet and updating with all change management.

  • Following pre-determined guidelines for categorizing budget, and tracking costs for reporting to the Authorities.

  • Follow guidelines or submission templates and reconciliation requirements.

  • Monthly and End of Project Reconciliation.

  • Other project-related requirements as they arise.

Qualifications

  • Post-Secondary certification or technology diploma in Engineering, Architecture, or Project Management.

  • CAPM or PMP designation would be an asset.

  • 3-5 Years of experience in the Assistant Project Manager Role.

  • Experience in working in Hospital Environment a must.

  • FF&E Coordination an asset.

  • Strong computer skills, MS Project, Word, Excel, Visio.

  • Excellent communication and interpersonal skills.

  • Strong organizational and time-management skills.

  • Ability to work effectively in a team environment.

Project Manager - Healthcare

We are seeking a Project Manager with experience working in both new and existing hospital environment on a major capital projects to join our team.   • Lead and manage project teams to deliver projects on time, within scope, and budget.

  • Lead Client and Project Meetings and manage multiple stakeholders.

  • Be a point of contact for the client and build the client relationship.

  • Ensure client’s interests are represented and respected for contractual and technical issues.

  • Develop project plans, including defining project scope, goals, and deliverables.

  • Monitor project progress and adjust project plans as necessary to ensure successful project completion.

  • Conduct risk assessments, develop mitigation plans and monitor project risks.

  • Manage project budgets and resource allocation.

  • Ensure compliance with project management standards and best practices.

  • Lead capital projects on behalf of owners with varying sizes and complexity.

  • Strategic advisor.

Qualifications

  • University Degree in Engineering.

  • P. Eng. or PMP designation would be an asset.

  • 8-10+ Years experience managing projects as owner’s representative.

  • Experience managing large-scale, complex projects from initiation to closure.

  • Experience in Hospital or Clinics are a must.

  • Ability to obtain security clearance.

  • Strong computer skills, MS Project, Word, Excel, Visio.

  • Strong leadership and team management skills.

  • Excellent communication and interpersonal skills.

  • Advanced understanding of Project Management methodologies.

  • Strong organizational and time-management skills.

  • Ability to work effectively in a team environment.

  • Ability to travel.

  • Deep knowledge of various design and construction methodologies, project management models and financial management, contract law, and relevant legislation.

  • Practical knowledge of procurement practices, bid preparation, and contracts.
